Venue & House Rules
Our event takes place at ZIMIHC Theatre Stefanus in Utrecht.
In addition to our own event rules, all visitors are expected to follow the rules and requirements of the venue.
These rules help us keep the event safe, accessible, and enjoyable for everyone.
1. Venue Rules
– Visitors must follow the instructions given by ZIMIHC staff, event staff, security personnel, volunteers, and other authorized staff members.
We can refuse entry or ask visitors to leave the venue if they do not follow the applicable rules.
2. Weapons
– Having or using weapons at the venue is strictly prohibited.
Visitors may not bring real weapons to the event.
Even when an item is part of a cosplay, it must comply with both our Cosplay & Prop Rules and the venue’s requirements.
If there is any doubt about a cosplay prop, we may refuse to allow it into the venue.
3. Alcohol & Drugs
Visitors who are visibly under the influence of alcohol or drugs may be refused entry.
The use, possession, or distribution of illegal drugs is prohibited.
4. Smoking & Open Flames
– Smoking is prohibited inside the venue.
– Open flames are not permitted.
This also applies to cosplay and decorative effects involving real flames.
Do not bring candles, torches, fireworks, or other sources of open flame.
5. Confetti, Glitter & Similar Materials
– The use of confetti, paper shreds, artificial snow, glitter, and similar materials is not permitted.
– Fireworks and other effects that disperse materials throughout the venue are also prohibited.
6. Animals
Pets are not permitted inside ZIMIHC, with the exception of assistance and guide dogs.
7. Personal Belongings
Please do not leave personal belongings unattended.
ZIMIHC & the K-Heart team is not responsible for lost, damaged, or stolen personal belongings.
8. Emergencies & Evacuation
In the event of a fire, evacuation, or other emergency, visitors must follow the instructions of venue staff, event staff, and emergency personnel.
Remain calm and keep all emergency exits, corridors, and access routes clear.
9. Sound
The venue has maximum permitted sound levels.
Visitors and participants must therefore not use personal equipment or cosplay props that create unsafe or excessively loud sound levels.
10. Photography & Cosplay
Cosplay is welcome at our event as long as the cosplay and props can be used safely.
Please ask for permission before taking identifiable photographs of other visitors.
In busy areas, make sure that your cosplay, props, and photography do not obstruct or disturb other visitors.
11. Accessibility
Please keep wheelchair routes, entrances, corridors, emergency exits, and other accessible facilities clear at all times.
Large cosplay props must not obstruct accessible routes.
12. If You Are Unsure
When both our event rules and the venue’s safety requirements apply, we will always choose the safest interpretation.
The organization and venue may refuse an item or activity if it is considered a risk to visitors, staff, the building, or public safety.
